Admin Assistant

To provide administrative support for the Operations Team and to provide an initial and ongoing contact point for customers, staff and external agencies’ inquiries and referrals.

Barnsley S75
20h per week 4h over 5 days or 5h over 4 days

MAIN AREAS OF WORK
• Dealing with a wide range of telephone inquiries and correspondence – working on own initiative to take action as appropriate and referring issues to the Business Manager/Operations Manager where necessary.
• Providing office support including customer and employee support.
• Keeping well organised files and records of business activity.
• Interacting with clients either on the phone or in person.
• Answering phones and connecting calls to the relevant person.
• Taking telephone messages and passing them on.
• Communicating with materials suppliers and vendors.
• Using spreadsheets.
• Collecting and imputing company and employee data.
• Learning about the company’s available products and services.
• Building relationships with clients and employees.
• Sending emails.
• Writing and editing company correspondence.
• Acting a personal assistant to the management team.
• Ordering office stationary and other supplies.
• Preparing meeting rooms by getting refreshments.
• Participating in meetings and taking minutes.
• Giving feedback on office efficiency and suggesting possible improvements.
• Assisting the Operations Manager with office based tasks.
• Being ready for any other administrative tasks that are required.

KNOWLEDGE, SKILLS & EXPERIENCE
• 4 GCSE’s grade C or above (including Maths and English) or equivalent NVQ or experience.
• Demonstrable skills in supporting performance management and problem solving.
• Ability to work flexibly.
• Ability to work with confidential and sensitive data.
• Be ICT literate.
• Strong organisational skills.
• Reliable, trustworthy and an ability to maintain confidentiality at all times.
• Able to priorities, multi-task and co-ordinate workloads and to work under pressure to meet deadlines.
• Ability to work unsupervised and under own initiative.
• High level of commitment and positive “can do” attitude.
